A crew rate is usually loaded as a separate rate code or as a note on the reservation. The colleague working the night shift may never have handled one, and hotels rotate staff constantly. It is rarely bad faith and almost always a system view.

Before assuming the hotel is wrong, look at how you booked. Every property handles its crew rate differently, and our hotel pages state per hotel what you need to do to get it.
If one of those steps was missed, the reservation reaches the hotel as an ordinary retail booking and the desk genuinely has nothing to see. Reading the page for that property before you travel prevents most of these situations.

- Show your airline or airport ID together with the booking confirmation that names the staff rate.
- Point at the exact wording on your confirmation instead of describing it from memory.
- If nobody can be reached, ask for it to be noted on your file and reviewed in the morning, then follow up before you check out.
